Project Assistant
This role is offered as a creative apprenticeship. It is therefore ideal for a young person interested in the creative and cultural industries as the role will bring them contact with many types of organisations when working as a project assistant.
1. Purpose of the role
The role of the Project Assistant is to support the delivery team of the organization, is designing, developing and delivering workshops and resources as part of the programme of projects, events and training courses that Creative Alliance runs with young people. It requires the ability to develop organizational skills and also be able to communicate the values and work of Creative Alliance effectively to the public and others.
2. Key tasks
To endure project support is offered to the delivery team: this will include ensuring that office management systems are functioning appropriately and to manage administrative support needs for the team. More specifically this will entail:
- 2.1 Being first point of contact for the organissation (e.g. telephone)
2.2 MS Outlook diary management / emails and MS databases via Excel
2.3 Devising and/or typing correspondence or other documents for the team
2.4 Ordering and checking resources and purchases for the team
2.5 Booking workshops and events and ordering resources / supplies
2.6 Assisting in the coordination and delivery of workshops
2.7 Assisting in the coordination and delivery of events
2.8 Document and assist in the evaluation of events
Contribute to social media activities on behalf of the company
3. Duties and responsibilities
- 3.1 Provide organisational support to any projects undertaken by the team, as necessary
3.2 Respond to requests for information from members of the public and others
3.3 Implement, maintain and develop efficient and effective administrative systems
3.4 Ensure that all office practices promote the company’s equal opportunity policy
4. Person specification:
- 4.1 A lot of initiative and ability to work with little direct supervision
4.2 Potential strong organisational and administration skills
4.3 Ability to communicate effectively at a number of different levels and methods
4.4 Ability to use digital recording devices and edit and upload digital content
4.5 Ability to work under pressure and to maintain deadlines
4.6 Maintaining confidentiality
4.7 Ability to work as part of a team
4.8 Computer literate and able to use Microsoft Word, Excel, Access, Powerpoint etc.
