Main Responsibilities

Your main responsibilities will include offering administrative support to our People and Operations team in recruitment and selection processes, database and systems maintenance, ad-hoc operational duties and desk-based research to support in some of our wider projects such as introducing an Applicant Tracking System (ATS).

Core Duties:

Some of your main day-to-day duties will involve; administering company mailboxes and accounts e.g. jobs@ info@ (developing your knowledge of how to respond to creative industry), inputting and amending data on our employee database ‘Bright HR’, liaising with job applicants, liaising with candidates, scheduling and observing interviews, drafting feedback for unsuccessful candidates (developing knowledge of processes and best practice), coordination of on-site requirements for any office moves and/or office decorating and desk-based research to support some of our ongoing people and operations projects.

General Duties: For example

Adhere to company processes, policies and procedures, particularly GDPR data protection legislation and health and safety best practices around social distancing.

Ensure compliance with all relevant funding conditions and reporting requirements

Act as a point of contact for external enquiries and communication

Work in a way which celebrates diversity in practice, programmes and projects and encourages best practice

Act as a positive advocate of the company at all times

Ensure that safeguarding and health & safety policies are observed and positively implemented

Carry out any other reasonable duties as required and agreed with your line manager

Communication skills and desire to liaise with people over the phone and email

Ability to build effective working relationships both internally and externally

Ability to respect confidentiality of information

A willingness to learn and interest in developing a career in HR and operation

Strong communication skills

Build effective relationships both internally and externally. Strong organisational skills and an ability to respect confidentiality are also essential skills to this role.

Creative Alliance will provide the Kickstart Placement with a mentor to provide ongoing support to effectively integrate them into the culture of the company and help them understand the professional standards we work to. They will receive external employability support from Creative Alliance who will help them produce a new CV and portfolio so they can compete for marketing positions after their six months on the Kickstart scheme. You will receive mentoring and training from the Director of People & Operations and the People & Operations Coordinator including company systems, processes, how to use Bright HR platform, Linkedin recruiter, developing writing skills for job adverts and JDs, designing organisational charts, observing interview panels, attending all-staff meetings. The company is digital first meaning developing knowledge and experience using Office365 e.g. outlook, data storage will be key. You will also be trained on GDPR and general business administration.
